Terms and Conditions
Last updated: October 5, 2026
These terms apply to use of AgentPipeline and the purchase of its subscriptions. Please read the refund, cancellation and delivery policies below before purchasing.
Important: the sections on cancellation, data exports, service availability and liability affect your rights and responsibilities. Read them before accepting these terms. Nothing in this agreement removes rights or remedies that cannot lawfully be excluded.
About the Service
The supplier is Justin Nicklin, a sole proprietor trading as AgentPipeline, based in South Africa. References to “we”, “us” and “our” in these terms mean that supplier; “you” means the subscriber or business entering this agreement.
AgentPipeline is an online calling-management and CRM service for real estate professionals. It provides client records, call outcomes, follow-ups, appointment scheduling, buyer requirements, lead management and deal-pipeline tools, subject to the selected plan. It is accessed through a web browser; it is not a telephone dialler and does not provide telephone airtime.
Accounts and Authority
You must be at least 18 years old and legally able to enter this agreement. If you subscribe on behalf of a business, you confirm that you have authority to bind that business. The subscriber is responsible for the authorised users and callers it adds to its workspace.
Provide accurate account and billing information, keep your login credentials secure, and remove access when a team member no longer needs it. Notify support promptly if you suspect unauthorised access. You are responsible for activity you authorise; this does not excuse a security failure attributable to AgentPipeline.
The plan and purchase details you expressly accept form part of this agreement. A separately signed agreement takes priority where it expressly changes these terms. A lawful data-processing agreement takes priority for the processing it covers.
Acceptable Use and Lawful Contact
- You may use AgentPipeline to manage real estate prospecting, client records, call outcomes, follow-ups, appointments, properties, buyers, and reports.
- You must use the service lawfully and responsibly, including when importing or contacting client records.
- You are responsible for your own account access, caller access, imported data, and contact practices.
- Only upload records you are entitled to hold and process. Establish the appropriate lawful basis for collecting, using and contacting people; obtain consent where required and honour objections, opt-outs and do-not-contact requests.
- Comply with applicable privacy, direct-marketing, consumer-protection and real-estate rules, including POPIA where it applies. A tag, reminder or contact record does not establish permission to contact someone.
- You decide whom to call, when to call and what to say, and are responsible for ensuring each call and follow-up is lawful. This includes applicable calling hours, consent or other lawful grounds, marketing restrictions and suppression requests. AgentPipeline does not verify the lawfulness of your contact lists or approve individual calls. Its filters, tags and reminders assist your workflow and do not replace your legal checks.
- Do not upload unlawful content, impersonate others, send abusive or deceptive communications, distribute malware, attempt unauthorised access, or deliberately disrupt the service.
- Do not resell access, copy the software or circumvent plan limits without our written agreement. This restriction does not prevent use of your own exported client data.
Subscriptions and Payments
The selected plan, price, billing frequency and any applicable charges are displayed before payment. Subscription prices and payments are in South African rand (ZAR). Review these details before confirming a purchase.
Where you authorise a recurring subscription, payments renew at the agreed monthly or annual interval until cancelled. A free trial is not a successful paid purchase. Paid features require confirmed payment and an eligible account; plan and caller limits may apply.
Check the total price, including applicable taxes and additional charges, before purchasing. We will not introduce an undisclosed charge. Changes to future renewal prices will be communicated in advance so that you can decide whether to continue, subject to any longer notice or other protection required by law. Plan changes and additional purchases require your authorisation.
Payments are processed through PayFast. Payment-card details are entered on PayFast's payment page and are not stored by AgentPipeline. A return to the website after checkout does not by itself confirm payment: subscription status is updated after the payment provider's confirmation has been received and validated.
Delivery Policy — Digital Service
AgentPipeline supplies access to software online. There are no physical goods, shipping charges or postal deliveries.
After a successful payment is confirmed and validated, the subscription is applied to the AgentPipeline account associated with that purchase. Sign in with that account to access the features included in your plan. Activation is normally automatic, but payment-provider, banking or technical delays can affect the time it takes.
If payment has been deducted but access has not been activated, contact [email protected] with your account email, payment date and transaction reference. We will investigate the payment and arrange activation or an appropriate refund if the purchased service cannot be supplied. Do not send passwords or full payment-card details.
Cancellation Policy
You may request cancellation of your subscription from the Subscription section of your account or by emailing [email protected] from your registered email address. Identify the account and subscription you want to cancel.
A cancellation request must identify your account and the subscription concerned. We will acknowledge a support request and confirm its effective date and effect on access. The in-app cancellation action is an immediate cancellation request and can disable paid features once confirmed; it must not be assumed to preserve access until the next renewal date. Export any records you need before using it. If you want access to continue for the remainder of an already-paid period, contact support to arrange the end date before cancelling in the app.
We must arrange for future recurring charges to stop from the effective cancellation date. Payment-provider processing may delay the displayed status, but a technical error or missing confirmation does not remove a valid cancellation right. Keep a copy of your request and contact support if a payment is taken after the effective date; we will investigate and refund any charge that was not due.
Signing out, ceasing to use the service, or disconnecting a calendar does not by itself communicate cancellation. Cancellation does not automatically refund service already supplied. If cancellation ends your access before an already-paid period finishes, we will assess the unused portion for a proportional refund, subject only to a reasonable cancellation charge where permitted by law and disclosed before purchase. No cancellation charge is introduced by these terms.
Where a statutory right to cancel a fixed-term agreement or a cooling-off right applies, we will apply that right, its notice requirements and lawful refund or charge rules. The monthly or annual billing option does not waive those rights.
Refund Policy
Contact [email protected] to request a refund. Include your registered account email, payment date, amount, transaction reference and the reason for the request. We review the payment record and circumstances and communicate the outcome to you.
Verified duplicate charges, incorrect charges attributable to AgentPipeline, and payments for a service we cannot supply are eligible for correction or refund as appropriate. If there is an access problem, we will investigate and explain whether it can be resolved or a refund is due.
Except where required by applicable law or agreed by us, payments for service already supplied are not refundable solely because you no longer need the service, have not used it, or cancel part-way through a billing period. Partial-period refunds are not automatic.
The unused-access cancellation rule above is an exception to that general rule. Remedies for defective service, non-delivery, unlawful charges or applicable cooling-off rights are not conditional on our discretion. We will not withhold a refund required by law merely because the account has been used.
Approved refunds are submitted through the payment provider to the original payment method wherever supported. We will confirm the amount and processing details. The time for funds to appear depends on the payment provider and your bank; approval does not mean funds are immediately available.
These policies do not exclude or limit any cancellation, cooling-off, refund or other consumer rights that apply under South African law. Where those rights apply, they take precedence over these terms.
Client Data, Privacy and Confidentiality
Workspace client records are supplied or captured by users and their authorised clients. AgentPipeline does not acquire ownership of those records. As between you and AgentPipeline, you retain any rights you lawfully hold in the content you upload; this does not give you ownership of another person's personal information or override that person's rights. You are responsible for having the necessary authority to upload and use it.
You grant us only a limited right to host, process, back up and transmit workspace records as reasonably necessary to provide the service, carry out your authorised instructions, maintain security and fulfil legal obligations. This does not permit us to sell your workspace client database or use it for our own prospecting or marketing.
For personal information you place in your workspace, you normally determine why it is processed and who may access it. Where AgentPipeline processes it on your behalf, we act as an operator under POPIA: we will process it only under your lawful instructions or as required by law, maintain confidentiality, and establish and maintain appropriate, reasonable technical and organisational safeguards. You remain responsible for your lawful purposes, data accuracy, retention decisions and authorised users.
We will notify the responsible party immediately where we have reasonable grounds to believe workspace personal information has been accessed or acquired by an unauthorised person, and assist with information reasonably needed to meet applicable notification duties. Each party remains responsible for its own statutory obligations. No clause transfers our own privacy or security obligations to you.
Service providers engaged to process workspace data must be subject to appropriate confidentiality and security obligations. Any cross-border processing must meet applicable legal requirements. Account, billing and support information that we process for our own purposes is described in our Privacy Policy. These terms do not constitute consent from the people in your database.
Exports, Backups and Account Closure
Use available export tools to retain copies of important records and check that the exported information meets your needs. Operational backups support recovery but are not a permanent archive or a guarantee that every change can be restored. Your export responsibilities do not remove our obligation to take reasonable care of data entrusted to us.
Subscription cancellation and a request to delete workspace data are separate actions. Contact support for account closure, deletion or assistance exporting data. We will verify your authority and explain the applicable process, retention and access arrangements before routine permanent deletion. Where practical, we will provide a reasonable opportunity to export records; urgent legal or security restrictions may limit that opportunity.
Information may be retained where required for lawful billing, dispute resolution or other legal obligations. Residual copies in operational backups may remain until the normal backup cycle expires and will remain protected. This agreement does not promise indefinite storage after termination or an unimplemented self-service recovery feature.
Software Ownership and Licence
AgentPipeline and its licensors retain rights in the software, design, documentation and branding. Your subscription gives you a limited, non-exclusive right to use the service for your authorised business purposes during the applicable access period, subject to your plan. It does not transfer ownership of the software. This does not affect your rights in your own content or rights granted by third-party open-source licences.
Third-Party Services
AgentPipeline can connect to Google Calendar, Microsoft Outlook Calendar, and PayFast. Those services are provided by third parties and may have their own terms, privacy notices, and availability limits.
You choose which accounts to connect and must have authority to connect them. Check appointment, invitation and payment status when confirmation matters. Revoked permissions, provider changes or outages may interrupt integrations. We are responsible for reasonable care in our own integration work, but cannot guarantee a third party's availability or control its independent acts.
Availability and Changes
We aim to keep AgentPipeline stable and useful, but updates, maintenance, provider outages, hosting issues, or beta changes may affect availability from time to time.
No uninterrupted-availability commitment or guaranteed response time applies unless separately agreed in writing. We will use reasonable care in providing the service and communicating planned material interruptions where practical. We do not guarantee sales, commissions, appointment attendance or that your contact activity complies with law merely because you use the software.
We may make reasonable improvements and security changes. A material reduction to paid features during a paid period will be addressed with an appropriate remedy where required; it is not authorised simply by describing a feature as beta.
Suspension and Termination
We may restrict access to address a material breach, overdue payment, unlawful use or a credible security threat. Restrictions will be proportionate. Where practical and lawful, we will explain the reason and provide a reasonable opportunity to resolve it. Urgent protective action may occur without prior notice, with an explanation afterwards where permitted.
If we terminate paid service for reasons unrelated to your breach, we will provide reasonable notice where practical and an appropriate refund for the unused paid period. Any cancellation or refund following breach remains subject to applicable law. We will not impose an undisclosed penalty or deny a legally required remedy.
Important — Liability and Allocation of Risk
AgentPipeline is a workflow and CRM tool. It does not replace professional legal, compliance, accounting, or business advice. Use judgment and review your own business processes before contacting prospects or clients.
Where lawful and fair in the circumstances, our total liability for ordinary contractual claims arising from the service is limited to the subscription fees you paid or were payable for the affected service in the 12 months preceding the event giving rise to the claim. Related claims arising from the same event are assessed together. This allocates ordinary commercial risk and does not exclude every claim.
To the extent lawfully permitted, we are not liable for indirect or consequential loss, including lost opportunities, anticipated commissions or profits arising indirectly from the use or unavailability of the service. Direct losses are not excluded merely by giving them one of those labels.
These exclusions and the cap do not apply to fraud, wilful misconduct, gross negligence, death or personal injury caused by negligence, or any liability that cannot lawfully be excluded or limited. They do not cap a refund or other mandatory consumer remedy or prevent a regulator exercising its powers. If a limitation would be unfair or unlawful in your circumstances, it does not apply to that extent.
Each party must take reasonable steps to avoid or reduce loss once it becomes aware of a problem. Neither party is responsible for delay caused solely by circumstances reasonably beyond its control while taking reasonable steps to mitigate their effects. This does not excuse failure to take reasonable precautions or remove remedies for paid service that cannot be delivered.
Complaints, Disputes and Governing Law
Contact support with the relevant account and transaction details so that we can investigate a complaint and propose a resolution. You may use any applicable payment-provider dispute process, consumer complaint mechanism, Information Regulator process or competent court without first agreeing to private arbitration.
South African law governs this agreement, subject to mandatory protections that apply to you. Nothing requires you to bring a claim in a court that would unlawfully restrict your access to a remedy.
Changes to These Terms
We will identify updated versions by date and give reasonable advance notice of material changes affecting existing subscribers, except where an urgent legal or security change is necessary. Changes apply prospectively and do not retrospectively remove accrued rights. Where a change requires consent, we will obtain it. If a material change is unacceptable, contact us to arrange cancellation and any applicable remedy.
If a provision is unlawful or unenforceable, it is ineffective to that extent and the remaining provisions continue where they can operate fairly. Failure to enforce a provision once does not waive future enforcement. Clauses that by their nature must continue, including outstanding lawful payment obligations, confidentiality and dispute provisions, survive termination to the extent applicable.
